Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This individual will play a vital role in supporting our operations by managing various administrative tasks, maintaining efficient office processes, and assisting with documentation. Responsibilities
- Utilize Excel to organize, analyze, and present data accurately.
- Create professional documents, PDFs, and presentations, ensuring format consistency and adhering to branding guidelines.
- Employ AI tools to streamline administrative processes and enhance productivity.
- Structure and organize notes from meetings, ensuring clarity and accessibility for team reference.
- Familiarity with medical terminology to assist with related documentation and communication as needed.
- Maintain an organized filing system both physically and digitally for easy retrieval of documents.
- Handle correspondence efficiently, ensuring timely communication and follow-ups.
- Support team members with scheduling, travel arrangements, and other organizational needs.
- Collaborate with other departments to assist with various administrative projects as they arise.
- Uphold confidentiality and professionalism in all interactions.
- Demonstrate the ability to thrive in a fast-paced and high-pressure environment, managing multiple tasks effectively.
Qualifications
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Excel and other Microsoft Office Suite applications (Word, PowerPoint, etc.).
- Strong proficiency in Google Suite (Docs, Sheets, Drive, etc.) for document management and collaboration.
- Knowledge of document creation and management (including PDFs).
- Familiarity with AI applications and tools for task management.
- Understanding of medical terminology is a plus.
- Excellent grammar and spelling skills with keen attention to detail.
- Strong organizational skills with the ability to manage multiple tasks efficiently under pressure.
- Ability to maintain a high level of professionalism and confidentiality.
